Elixir Publishers – Policies Overview

At Elixir Publishers, we believe in transparency and fairness, ensuring that both authors and readers have a clear understanding of our processes. Our policies are designed to foster a positive, ethical, and collaborative relationship with everyone involved in our publishing ecosystem. Below are the key policies we follow:

1. Submission Policy

  • Open Submissions: We accept submissions from both established and emerging authors. Manuscripts may be submitted directly through our online submission portal or via literary agents.
  • Genre/Scope: We consider works in the following genres: [list specific genres, e.g., academic research, fiction, non-fiction, poetry, etc.]. Please check our submission guidelines for specific details.
  • Original Work: We only accept original, unpublished works that are not currently under consideration by other publishers.
  • Response Time: Our team will acknowledge receipt of your submission within [insert number] days. A response (acceptance, rejection, or request for revisions) will be provided within [insert number] weeks/months.

2. Copyright and Rights Policy

  • Author’s Rights: Authors retain the copyright to their work, but agree to grant Elixir Publishers exclusive or non-exclusive rights for a specified duration, depending on the terms of the contract.
  • Publishing Rights: We hold the rights to publish, distribute, and market the work in print, digital, and audio formats, unless otherwise agreed upon.
  • Subrights: We also manage the sale of subsidiary rights (such as translation, film/TV adaptations, etc.) unless these are explicitly retained by the author.
  • Termination of Rights: After a specified period or under certain conditions, rights can be reverted to the author, as outlined in the publishing contract.

3. Editorial and Review Process

  • Editorial Standards: Every manuscript is thoroughly reviewed by our editorial team. Once accepted, the manuscript will undergo professional editing, including copyediting, proofreading, and, if necessary, developmental editing.
  • Author Collaboration: We believe in a collaborative editorial process. Authors will be closely involved in the revision process and will have the opportunity to review edits and suggestions.
  • Approval of Final Manuscript: The final manuscript will be submitted for approval by the author before it goes to print or digital release.

4. Royalty and Payment Policy

  • Royalty Structure: Our royalty structure is based on the type of book, sales platform, and format. Royalties are paid on net sales, with rates specified in the author’s contract.
  • Payment Frequency: Royalties are typically paid quarterly or bi-annually, and authors will receive a detailed statement of sales and earnings with each payment.
  • Advance Payments: Authors may receive an advance against royalties, which is deducted from future earnings until the advance is earned out.
  • International Sales: Royalties from international sales are paid as a percentage of net income received from foreign distributors, with rates outlined in the author contract.

5. Marketing and Promotion Policy

  • Author Involvement: We believe that author involvement is key to successful marketing. Authors are encouraged to participate in promotional activities such as book launches, media interviews, blog tours, and social media campaigns.
  • Promotional Materials: Elixir Publishers will provide authors with marketing materials, including book covers, press releases, author bios, and promotional copies.
  • Marketing Channels: We use a variety of marketing strategies, including social media outreach, email newsletters, industry events, conferences, and more. Marketing efforts may also extend to global platforms and retailers like Amazon, Barnes & Noble, etc.
  • Publicity: Authors are encouraged to work with our publicity team to secure media coverage and interviews. We also help facilitate book reviews with relevant outlets.

6. Conference and Event Participation

  • Conference Invitation: Authors published by Elixir Publishers may be invited to participate in industry conferences, book fairs, and literary events. Participation may be either in person or virtual.
  • Presentation Rights: Authors who participate in conferences hosted by Elixir Publishers may be asked to present their work, either in panel discussions, keynote speeches, or book readings, depending on the nature of the event.
  • Fee Structure: If authors are invited to present at a paid conference, we will clearly outline any participation fees or honorariums offered in the contract.

7. Distribution and Availability

  • Global Distribution: Once published, books will be made available across multiple platforms, including online retailers (Amazon, Barnes & Noble, etc.), independent bookstores, and libraries.
  • Print and Digital Formats: We offer books in both print (hardcover, paperback) and digital (eBook, audiobook) formats. Authors can choose their preferred distribution channels, though Elixir Publishers may also provide suggestions based on market trends.
  • Out-of-Print Policy: If a book is no longer available for sale, the publisher will notify the author, and a decision will be made regarding the book’s future availability (e.g., reprint, digital-only version, etc.).

8. Privacy and Data Protection Policy

  • Author Privacy: We respect the privacy of our authors and will only share personal and financial information with third parties if required by law or in the course of fulfilling our contractual obligations (e.g., for payment processing, tax reporting).
  • Reader Privacy: We collect customer information only as necessary to fulfill orders or in connection with marketing activities. We do not share personal data without consent.
  • Data Security: We employ industry-standard encryption and security measures to protect all data collected through our website and at events.

9. Ethical Publishing Policy

  • Inclusivity and Diversity: We are committed to promoting diversity and inclusivity in the works we publish, as well as ensuring fair treatment of all authors, regardless of background, identity, or experience.
  • Plagiarism and Ethics: Elixir Publishers has a zero-tolerance policy for plagiarism. All submitted works are vetted for originality, and any detected plagiarism will result in immediate rejection of the manuscript.
  • Fair Treatment: We ensure transparent and fair dealings with all authors and stakeholders, adhering to ethical practices in all aspects of our publishing process.

10. Dispute Resolution and Termination Policy

  • Dispute Resolution: In case of any disputes, we encourage resolution through open communication between Elixir Publishers and the author. If needed, third-party mediation or arbitration may be sought.
  • Termination of Contract: Either party may terminate the publishing agreement under specified conditions, which will be clearly outlined in the contract. In the case of termination, rights to the work will revert to the author, as agreed upon.
